Kingswood Group are currently supporting an organisation based in East London who are looking to recruit a temporary Executive PA and Office Manager for a minimum of 2 months.
The job:
Working in a small office, managing one staff member, this exciting new position is to support the day to day organisation of a prominent individual.
Duties will include;
- Provide secretarial and administrative support, delegating tasks to staff
- Diary and travel management; UK and abroad
- Correspondence and e-mail account management, drafting and formatting responses to emails, letters and documents
- First point of contact for calls/emails
- Ensure databases and records are maintained and updated
- Review procedures and policies – looking to improve if necessary
- Ensure the office is GDPR compliant
- Performance management, training, appraisal, monitoring staff annual leave, absence and timekeeping, handling Employee’s Relationship issues and manage other tasks related with employees full life-cycle
- Managing any recruitment
- Assist with the preparation for meetings and engagements, prepare documents needed, providing key instructions, preparing briefings etc
- Oversee hospitality functions, delegating the organisation of hospitality, and providing support where necessary
- Processing expenses and drawing up quarterly returns
- Liaise with other offices
Experience required:
- Previous EA/PA, administrative or secretarial experience
- Supervising experience
- Good IT skills
- Excellent written and oral communication skills
- Able to prioritise and organise own workload
- Able to manage confidential information and to act with discretion
- A calm and pleasant manner in dealing with enquiries and requests
- Friendly with a diplomatic manner
- A flexible approach to work
- Proactive and confident
- A team player, able to work creatively and flexibly with colleagues in a small office environment
